May 14th Update:

Registration for Before and After School Programs operated by the Waterloo Region District School Board (WRDSB) for the 2026-27 school year will open on May 19, 2026, at 8:30 a.m. A link will be provided at that time.

Parents, families and caregivers who wish to create their account before registration opens will be able to do so beginning Friday, May 15, 2026, at 8:30 a.mA link will be provided at that time.  Review the Parent, Family and Caregiver Registration Guide.

Parents, families and caregivers must re-register each year when registration opens; registrations do not carry over year-to-year. If your child is enrolled in WRDSB Extended Day program as of May 1 and you register for 2026-27 Extended Day Programs between May 19 and May 29, your registration will be eligible for priority placement.

Some programs have limited spaces and it is recommended you register as soon as registration opens. Due to an increase in demand for child care spaces, some programs may have waiting lists.

Who operates the Licensed Before and After School Program at my child’s school?

The Waterloo Region District School Board (WRDSB) operates the program at some locations and third party providers operate programs at other locations. Every elementary school offers Before and After school care for children in Junior Kindergarten to Grade 6.

Due to limited space families must maintain a regular and ongoing care schedule. Set part time schedule options are available for families to choose from. Varied and single day removals are not permitted and all care schedules are effective as of the first day of school.

Supports for children with special needs

Contact care@wrdsb.ca and a Supervisor will contact you to learn more about how to best support your child.

Registration requires FOUR weeks notice before a child can begin attending the program. You can register up to six weeks in advance of your preferred start date.

There are times when more than four weeks notice may be required before a child can begin attending the program, for example if we need to hire educators to support the program. You may be placed on a wait list if space is not available, if so, spaces will be offered to those on the waiting list in priority order of application date.

Full time and Part time Scheduling

Effective September 2025, your child may attend all five days of the week or part-time care is available for fixed schedules. The changes made to part-time care options are consistent with feedback we received from the community through the survey conducted in the fall of 2024, and will allow us to support more families in Before & After care by matching two part time schedules to create a full time schedule.

  • Changes cannot be made to these fixed care schedule options (For example, if you register for the Monday – Wednesday and Friday option you cannot remove Monday).
  • Families can register for multiple care schedule options (For example, you can register for Tuesday and Thursday Before school care and Monday to Friday After school care).
  • Single day removals are not permitted.

 

If you modify your child’s schedule, it is your responsibility to ensure that schedules are accurately entered to resume as needed. It is your responsibility to view the online calendar to ensure it is accurate for invoicing and attendance.

If you receive a child care subsidy to help with your fees, you must also contact your caseworker for approval of any changes, otherwise, you may be responsible to pay the cost for unapproved schedule changes.

Your registration is complete once you have days of care entered in the online calendar. Mekanys will populate your child’s schedule the entire school year based on the days selected.

Billing

To ensure accurate billing, it is the Parents/Guardians responsibility to log in periodically to the online registration system to ensure their child’s attendance schedule is accurate as invoices are based upon the days of care scheduled in Mekanys.

Applying for Subsidy

All of our Before and After School Programs are eligible for subsidy, through The Region of Waterloo.

Child Care and Taxes

The Revenue Canada Information About Child Care Expenses  has a number of pertinent sections highlighted for information.  These sections form the basis for this response, based on the taxation year of 2011.

Notice of Collection

Personal information is collected under the authority of the Education Act s. 259 & 259(1), The Child Care and Early Years Act s71(1) and in accordance with the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA).  Information provided will be used to administer the extended day program.  Limited information will also be shared with your child’s school and with the Region of Waterloo.  The WRDSB uses the Mekanys portal for parents/guardians to manage their accounts.    Questions about the collection and use of personal information can be directed to the school principal, or the WRDSB Privacy Officer at privacy@wrdsb.ca.

Registration for Before and After School Programs operated by the Waterloo Region District School Board (WRDSB) for the 2026-27 school year will open on May 19, 2026, at 8:30 a.m.

If your student is currently enrolled as of May 1, 2026, in a Before and After School Programs for the 2025–2026 school year, and you register between May 19 and May 29, 2026, your registration will be considered in the priority placement.

What’s New for the 2026-27 School Year

Based on feedback we heard from families, parents and caregivers, we are introducing several updates to improve the registration experience for Before and After School Programs.

We are partnering with a new vendor, Mekanys, to develop an online registration system for our extended day programs. Mekanys creates digital tools that help child care programs stay organized and operate more efficiently. Their system manages registration, waitlists, and accurate record-keeping to support the needs of WRDSB’s parents, families and caregivers.

Key System Improvements

  • Improved user interface and overall functionality
  • Ability to register siblings at the same time
  • Enhanced communication about space availability (text and email)
  • Continued access to both fixed part-time and full-time schedule options

We are also making changes to our registration and waitlist policies to improve service and consistency for families, parents and caregivers. One of the key changes in our updated waitlist policy is that we will now prioritize existing families and siblings. The system will register a child, or place them on the waiting list, based on the following criteria;

  • 1st priority = existing students (who are registered by May 29th 2026) in Junior Kindergarten to Grade 2 (including siblings) who are currently enrolled and attending a WRDSB Extended Day Program.
  • 2nd priority = existing students (who are registered by May 29 2026) in Grade 3 to 6 (including siblings) who are enrolled and attending a WRDSB Extended Day Program.
  • 3rd priority = Junior Kindergarten to Grade 2 (including siblings) students who are either new to the program or currently on the waitlist.
  • 4th priority = Grade 3 to 6 (including siblings) students who are either new to the program or currently on the waitlist.

These updates are intended to make registration quicker and easier, support coordinated sibling registration, and reduce disruptions for students already enroled in the program.

Important Information for the 2025-26 School Year

If your child is currently enroled in a WRDSB Before & After School Program, you will still have access to your OneList profile for the rest of the 2025-26 school year.

Families will continue to have access to their OneList account to:

  • Update personal information
  • Update emergency contacts
  • Review health and safety information
  • Withdraw from the program
  • Enter schedule changes

The last day to register for Before and After School Programs for the current school year is May 29, 2026.

 Coming Spring 2026 – Before and After School Program Registration

 

Registration for Before and After School Programs operated by the Waterloo Region District School Board (WRDSB) will open in Spring 2026. The specific date will be announced once confirmed. 

 

The WRDSB is pleased to announce that we are working with a new vendor to develop an online registration system for our extended day programs. This transition is focused on creating a smoother, more user‑friendly experience for families, and we are currently working to ensure everything is ready to go later this Spring.

At this time, there is no action required. More information will be shared in the coming weeks.

Extended Day Program Waitlist Update

We hope you had a restful and enjoyable summer in preparation for this school year. We are looking forward to welcoming you and your family back to our Extended Day Programs.

Current Status Update

We have been working closely with OneList throughout the summer to finalize program arrangements. Parents may continue to register or make changes to their registrations in accordance with the program policies and procedures outlined in the Parent Handbook.

We also encourage you to review the “Frequently Asked Questions (FAQ)” portion of our website, which has been updated over the summer.

Waitlist Information

For families who have been placed on our Extended Day Program waitlist, OneList has advised that your specific number on the waitlist  will be provided by mid-September. This timing allows for a more accurate picture of program capacity and available spaces, based on finalized registrations and scheduling information for currently enrolled children.  Families will receive a notification once waitlist numbers are available.

We remain committed to serving families through our Extended Day Programs and will offer available spaces to waitlisted families based on their waitlist position, as space becomes available or program capacity changes.

Thank you for registering in the Extended Day Program for the 2025-2026 school year and for confirming your child’s schedule.

This email is just a reminder that if you would like to withdraw your child prior to the start of school, the deadline to do so is August 20th, 2025. After that date, any changes will be subject to the two-week waiting period outlined in the parent handbook.  To withdraw, please visit OneList Waterloo Region.

All Extended Day Programs will begin on Wednesday, September 3, 2025. Extended Day Programs operate from 7:00am to school start and from the end of the school day to 6:00pm. We offer full days of programming on designated days including part of Winter Break, March Break and on designated PD days.

Please note that all kindergarten students registered in before and after school programs effective

September 3, can attend school as of September 3. Children will transition from the Extended Day before school program to class, and/or from class to the Extended Day after school program effective the first day of school.

Whether your child is starting school or continuing their educational journey, we’re here to provide seamless licensed child care and engaging experiences before and after the bell rings. Our Extended Day program offers:

We know families experienced challenges last year with Before & After School registration and we have been working with OneList to address these issues and ensure a smoother process for the 2025-26 school year.
