WRDSB Before and After School January 17, 2025 Professional Development Day
Extended Day programs will be open for families from 8:15 AM – 3:15 PM on the January 17th Professional Development day at your home school. The last day to remove registration for the January 17 PD Day is December 27th, 2024.
The daily fee for full-day PD program will be;
- $14.50 for children 6-12 years old and
- $12.00 for children who qualify for the Canada-wide early learning and child care funding. Fee reduction funding is intended to support children under the age of 6, with some exceptions for children with birthdays early in the calendar year who are 6 years of age and enrolled in kindergarten. More specifically, eligible children are defined as;
- Any child, until the last day of the month in which the child turns 6 years old and;
- Up until June 30 in a calendar year, any child who;
- turns six years old between January 1 and June 30 in that calendar year; and
- is enrolled in a licensed child care program
All families will have access to care from 8:15 AM – 3:15 PM regardless if registered for before, after or before and after hours.
Effective January 20th regular program hours will resume (7 AM to 6 PM).

WRDSB Before & After School Winter Break Program is operating January 2 and 3 2025
Operating Hours
Extended Day programs will be open for families from 8:30 – 4:30 on January 2 and 3 2025 at designated host locations. Please see the list of host locations below.
The daily fee for full-day program will be;

Next Steps for New Registrations
Registrations submitted from August 22 onwards will be processed on Thursday October 10, 2024. You will receive a confirmation email from OneList once your registration is processed. While some programs still have space available, others have waitlists. Please refer to our wait list policy if you have questions about the waitlist.

Update on Schedule Changes
Please note that the schedule change feature will be available for families in OneList beginning Friday October 11, 2024. Thank you for your patience as we worked with the vendor, OneHSN, to restore this functionality. As per the schedule change process outlined in our Parent Handbook your child may attend full time or part time; however, they must attend a minimum of two days per week to remain enrolled.
There are some changes to this feature this year:

A child must maintain a continuous schedule of a minimum of 2 days a week to remain in the program.

Children must be registered in Before and After school care in order to attend camp weeks or Professional Development day camp.

Single-Day Removals: Individual days can no longer be removed using the red X’s on the calendar. Select the “Change Schedule” button above the calendar to make schedule changes. All schedule changes made are until the end of the school year.

Effective Dates: The option for “Effective Until” date has been removed. You can now only set an “Effective From” date for schedule changes. All schedule changes made are from the effective from date until the end of the school year. There is a 2 week notice required for all scheduled changes.

Supporting High Quality Affordable Before and After School Programs
The Waterloo Region District School Board is committed to providing high quality and affordable before and after school programs (Extended Day).
In the 2024-25 school year, the WRDSB has seen a significant increase in interest in our programming and the demand continues to exceed the number of spaces available. The reduction in fees for child care programs as a result of the Canada-wide Early Learning and Child Care Program (CWELCC) has led to an increase in demand for child care across the entire province.
As of September 19, 5,809 children have registered in WRDSB Before and After School programs for the 2024-25 school year. This represents an increase of 1,665 students (40.2%) compared to the 2023-24 school year.
We continue to work with the online registration vendor, OneHSN, to process all requests and communications with families in a timely manner. We are working with the vendor to resume normal processes (schedule changes, new registrations). This is subject to quality assurance testing which is ongoing.
We recognize that some WRDSB families will continue to be placed on waitlists until a space opens up. The process for those on the waitlist is guided by the Extended Day Program Wait List Policy and Procedures.
The priority for registration is always based on the date and time it is received. Families and caregivers are required to re-register each year. This practice has been in place since 2010. As we always do, we will be evaluating our current practices to determine whether there is an opportunity to streamline the registration process for families moving forward.
WRDSB uses a pre-registration sign-up method to estimate demand for our programs. Pre-registration for Extended Day occurs between January and April each year, which provides us with a crucial planning tool to gauge demand and assess where resources are needed. However, it is important to note that pre-registration does not guarantee placement, as program viability is dependent on staffing levels and the number of interested families. While we closely monitor enrolment, a number of constraints (staffing, facilities and budget) remain a barrier to expanding our programs.
We will continue to look for opportunities to increase programs, as staffing and facility constraints allow. WRDSB is proud to have led the way provincially with providing this before and after school care for families. Our commitment has always been and continues to be to provide high quality and affordable child care to support our families.

2024-25 Extended Day Registration Process
At the start of the school year, the vendor used for processing Extended Day registration applications, OneHSN, experienced technical difficulties which resulted in delays and disruptions for families and caregivers. The technical issues that affected families in August have since been resolved, but some functionality remains unavailable (schedule changes, new registrations) as the vendor works through their testing process. The WRDSB apologizes for the frustration and inconvenience this caused. We understand the importance of families having reliable and affordable access to before and after school programs.
Communications about the technical issues were shared with families and caregivers on June 17, June 26, July 31 and August 28.
We remain committed to providing the excellent child care service that families have come to expect from the WRDSB. We are working closely with OneHSN to ensure that the errors experienced this summer are not repeated.
Since September 2022, all WRDSB-operated Before & After School programs have operated as licensed child care programs under the Child Care and Early Years Act.

We know that this has been a frustrating summer for those looking to register for Before and After School care. Delays and disruptions with the OneList system this summer have made it more difficult to find alternative care options. We understand and share your frustration with this process.
Schedule Changes for Before and After School Program
Changes to Before and After School schedules continue to be processed by OneList. As of Wednesday, August 28:

Unfortunately, due to the volume of technical issues and requests, responses from OneList may take between 3-5 days.
Before and After School Program Capacity
In the 2024-25 school year, we have seen a 27% increase in the number of children in our Before and After School programs. For licensing requirements, we must ensure target ratios of children per educator are met. To do so, we have capped the number of students in our programs for this school year.

Delay in Processing Registrations – Update from OneList
We have received an update from OneList that while they are making progress with processing registrations, they require more time to complete this process. Please see the below communication from OneList sent to families today. We understand and share your frustration with the challenges that the registration process has caused this year. We remain engaged with the vendor to monitor daily progress and have requested more timely updates from OneList to keep parents informed. Please continue to monitor this site for regular updates from OneList.

Despite our continuing efforts to process registrations, we are experiencing delays that will extend our processing timelines.
The queue in processing is anticipated to be complete by August 21, 2024. We understand this latest timeline is longer than expected, and we acknowledge the inconvenience it causes. Our primary focus remains on maintaining data integrity and ensuring fairness to all families affected by the registration issue. Once your child’s schedule is finalized, you will receive a confirmation email. Please wait for this email before reviewing your child’s registration. If you view the schedule before receiving the confirmation email, it may appear incomplete.

2024-25 Before and After School Registration Reopening Tuesday, July 2
We are pleased to announce that the registration system for the 2024-2025 Before and After School Program will reopen on Tuesday, July 2 by 8:00 a.m.
What This Means for Families and Caregivers
Families Who Completed Their Registration and Received Confirmation Email
For families and caregivers who completed their registration and received a confirmation email on June 17, no further action is required at this time. The system will be available to make schedule changes starting Monday, July 22, 2024.
Families Who Were Unable to Login or Complete Their Registration on June 17
Families and caregivers who attempted to login or were unable to complete their registration on June 17 will be given priority. They will be able to finalize their registration and submit their requested days of care between July 2 (8:00 a.m.) and July 12 (11:59 p.m.).
Please note: there is no rush to login immediately when the system re-opens. Ample time has been provided to ensure all families and caregivers:
- Are familiar with the procedure
- Have sufficient opportunity to complete their registration within the designated time frame
After July 2, days will be allocated based on the order of families’ first login attempts on June 17. Confirmation of registration will be sent from OneHSN starting July 15 and will continue until all of these registrations are confirmed.
An email will follow in the next 24 hours from OneHSN with detailed instructions on how to complete your registration. If families or caregivers encounter any issues completing their registration, please contact support@onehsn.com.

OneList is currently experiencing technical issues and has temporarily suspended the 2024-2025 Before and After school registration service. They are working to restore functionality as soon as possible.
We apologize for any inconvenience this may cause and appreciate your patience and understanding.
OneList will advise you in advance once registration reopens via email. For families who started the registration process and experienced technical difficulties they have captured your completed registration steps and you will receive notification to log back in and complete the process in priority order in accordance with the Waterloo Region District School Board Wait List Policy.

Why are operating hours changing?
This change in operating hours is required because we have been unable to identify enough qualified staff to meet our licensing and program ratios across all sites. By reducing our operating hours we are still able to offer the program for families who need it and meet the ratio requirements under the Child Care and Early Years Act
Effective June 3, 2024, regular program hours will resume (7 a.m to 6 p.m).

As announced this afternoon, Waterloo Region District School Board (WRDSB) schools will be closed to students on Monday April 8, 2024.
While we have examined every option to be able to provide care on this day, we are writing to confirm that WRDSB operated extended day programs will also be closed on Monday April 8, 2024.
Families will not be charged for Monday April 8, and programs will reopen on Tuesday April 9.
We apologize for the challenges this may cause in terms of making alternate child care arrangements.

Pre-registration for the 2024 – 2025 school year is open.
You are receiving this email because your child is currently enrolled in the Before & After School Program.
Between January 15th and April each year, families are asked to express their interest in having their child attend a Before and After School Program during the upcoming school year (September 2024 to June 2025). The Board uses this information to determine which programs will operate in the upcoming school year, and these decisions are communicated to families in May.
School-based child care programs offer you access to high quality programs in convenient locations.
Before and After school programs are offered from 7am-6pm Monday to Friday. Programs operate for reduced hours on designated PD Days, and at a reduced number of sites during March break and winter break.
All Programs offer:
- Ongoing registration
- Nutritional snacks
- Age-appropriate, high-quality programming
While registration can occur at any time, it is important for families to pre register between January 15th and March 31st to help us accurately assess community demand for programs. Spaces are limited and there are times when a wait list is implemented.
To pre-register, please log into your OneList Waterloo Region account. When prompted to pre-register, click Yes and your child will be added to the pre-registration list for next school year. You will receive communication in June advising next steps to complete your registration.
