Planning an event? Organizing a sports group? Need a meeting space?

The Waterloo Region District School Board has numerous convenient locations waiting for your group. Gymnasiums, auditoriums, cafeterias and school grounds are available for rent.

Rooms can be rented at Waterloo Region District School Board facilities in the evenings and on weekends during the school year. Schools are not available for rent during long weekends and holidays. All schools are closed for community use during the first two weeks of the new school year and during the December shutdown period.

As per the Ministry of Education directive, school day activities, extra-curricular activities and parent involvement activities organized or administered by the school or school board have priority use of school space during and after regular school hours.

In order to create affordable access to community facilities, the Government of Ontario provides a Community Use of Schools Grant that allows school boards to charge subsidized rental rates for non-profit groups. The annual subsidies offered are contingent upon Ministry funding. The Waterloo Region District School Board reserves the right to allocate the subsidy in such a manner to ensure that Community Use of Schools Program is offered at no cost to the Board. The Waterloo Region District School Board may change the way the subsidy is allocated year over year and determine the priority in which the subsidy will be applied.

A subsidy for a user group for an event is not a guarantee or commitment that future events will be subsidized in the same manner. Our primary goal is to subsidize local not for profit organizations who provide support and programming for local youth (under the age of 18 or under the age of 28 for participants with a disability).

Community Use of Schools Annual Deadlines

School Year (Mid – September to June)

Groups wishing to renew their permits for the upcoming/next school year can do so beginning May 1. Renewal permits are those requesting the same day of the week, time, school and space as used in the previous school year. Replacement permits or permits that were cancelled are not considered renewal permits. The deadline for submitting renewals is June 15. Permits received after this date will no longer be considered renewals. New permit requests may be submitted starting May 1st however they will not be processed until renewal permits have been processed.

Summer (July to Mid – August)

Permit submission for summer will open on April 1 each year. If you are submitting a summer permit, please ensure your permit request is submitted by April 30. Consistent with prior years, school availability will depend on construction and maintenance projects. In addition, Board programs and programs offered by our third-party childcare providers receive booking priority. Summer permits will run on weekdays only between 8:00am and 3:30pm.

Summer programs are permitted to run during the first 6 weeks of summer. All schools will be CLOSED on statutory holidays.
